Custom management software

Web-based management systems built around how you really work: orders, inventory, production, support and back office in one system, integrated with the ones you already use.

When your management system no longer fits you

Every company has at least one process that standard software does not handle as it should. At first a spreadsheet fills the gap, then a second one, then a manual procedure to keep them aligned. A few years later, the real "management system" is the people who know where to look.

Custom management software starts from the opposite problem: it is built around how you work, with your rules, your approval flows and your data, and it connects to the systems you already use instead of replacing all of them.

Signs you need custom management software

  • Data is entered twice, in different systems, and someone spends hours reconciling it.
  • A critical process lives in shared spreadsheets, with different versions and no reliable history.
  • Your ERP or standard package covers accounting but not your operational process: production, jobs, support, logistics.
  • Every change to the current software is slow, expensive or risky, and the vendor no longer makes them.
  • You need up-to-date data and KPIs to make decisions, instead of manual exports at month end.

What we build

  • Systems for operational processes. Orders, jobs, inventory, production, support and back office: modules built on your workflow, with roles and permissions for who does what.

  • Approval flows and documents. Requests, authorisations, document generation and archiving, with a history of who did what and when.

  • Electronic invoicing. Invoices are generated in the system, from orders or jobs, and sent to SdI, the Italian e-invoicing exchange system, with the status of each invoice (delivered, rejected) always visible to the team.

  • Dashboards and reporting. Up-to-date indicators read directly from the management system and the systems connected to it.

  • Integrations with ERP, e-commerce and accounting. Custom software rarely lives alone: we connect it to existing systems with reliable, monitored integrations.

  • Apps for people on the move. When needed, we pair the system with a mobile app for Android and iOS for technicians, agents and field staff.

Two paths: build or modernise

A new system, starting from Pandora

When the system has to be built, we start from Pandora, our modular foundation: authentication, roles, documents and dashboards are already built and battle-tested. Project time goes into the features that set you apart, not into the foundations.

Modernising an existing system

When the system exists but has become a drag, it does not necessarily need a full rewrite. We map the architecture, identify the most critical modules and define a gradual plan, with automated releases and without stopping operations.

Real case

Modernising a management system โ€” ERP

A management system with several modules built in different technologies, different installations for each customer and fully manual releases. Every update was risky and expensive.

We mapped the architecture, defined a simplification plan and standardised build, deploy and infrastructure. The critical modules were rewritten with modern technologies. Today the client manages 20+ components in a unified way, with automated releases: updating an installation is no longer a risk, it is routine.

Technologies

Back-end: Java, Spring Boot, Quarkus, Node.js

Front-end: Angular, React

Databases: PostgreSQL, MongoDB

Infrastructure: Docker, cloud or on-premise, CI/CD pipelines

Frequently asked questions

What is the difference between custom and off-the-shelf management software?+

Off-the-shelf software is designed for the average case: it covers common processes well, but asks you to adapt to its logic. Custom management software is built on your processes, data and rules, and integrates with the systems you already use. It pays off when the process is specific to your company or when standard software forces you into workarounds, spreadsheets and double data entry.

Can the new system coexist with our ERP?+

Yes, and it is the most common situation. Custom software often covers the processes the ERP does not handle well, and the two systems exchange master data, orders, prices and stock levels. We design these integrations with ERPs and other systems to be reliable, monitored and, when needed, real-time.

Can you modernise the system we already use?+

Yes. We study the existing system, map modules and dependencies and define a gradual plan: we act first where risk or cost is highest, without stopping operations and without rewriting everything when it is not needed.

What is Pandora and when do you use it?+

Pandora is our modular foundation for management software: authentication, roles and permissions, document management and dashboards are already built and battle-tested. We use it when the system has to be built from the ground up, so development focuses on the features specific to your business, with lower time and cost than a from-scratch project.

Will it run in the cloud or on-premise?+

We decide together based on your security, compliance and operational needs: in the cloud, on-premise on your infrastructure or in a hybrid setup. The system is a web application, so it runs in the browser and can be complemented by a mobile app for people working off-site.

How much does custom management software cost?+

It depends on the modules, the number of roles and approval flows, the integrations and the amount of data to migrate. After analysing your processes we present an estimate broken into phases. Starting from Pandora, when the project allows it, reduces cost and time compared with building entirely from scratch.
